What Is Wholesale Distribution Software?

Wholesale distribution is buying goods in bulk and reselling them to businesses rather than consumers. The system that runs it, sold as wholesale distribution software, distribution management system software or plain software for distributors, has to hold one record for purchasing, warehouse stock, picking and packing, delivery, invoicing and the credit you extend to trade customers.

Most distributors run on a patchwork: stock in a spreadsheet, accounts in another program, orders arriving by email, phone and an online store, each one typed in again by hand.

We replace that with one system covering buying, stock, warehouse, sales, invoicing, credit and reporting, set up around how your business already works. Odoo is the usual answer at this size, and we implement Sage, NetSuite and Dynamics when the fit is better.

DSD and Route Accounting Software

If your own trucks run routes, the office is on the van. DSD software for distributors puts the day on the driver’s screen: the load-out, the stops in order, what each customer takes, returns and empties, and the price that customer is on.

Route accounting software for distributors closes the loop the same afternoon. The invoice prints or emails at the door, payments and credits post against the right account, and the truck reconciles at the end of the run instead of at the end of the week. We use QuickBooks and sell on Shopify. Do we have to throw them out?

No. If a tool is working for you, we connect it rather than replace it. Your store keeps running, and orders, stock and invoices flow between it and Odoo automatically. If you would rather bring your books into one place, we migrate QuickBooks or Xero across without losing history. Your carriers connect too, so labels and tracking are produced for you.

How long does it take, and will it disrupt our trading?

Most distributors are live in 8–12 weeks, depending on how many warehouses and sales channels you run. Everything is built and tested on a practice copy first, so your day-to-day trading carries on untouched while it is being set up. Your team is trained before the switch, and we are on hand through go-live week.

Our way of working is unusual. What if the software doesn’t fit?

Then we build the difference. Every fix in Six Problems Every Distributor Knows above exists because a wholesale client needed something no product offered. We will also tell you honestly which of your requirements the standard setup already covers, custom work should be the exception, not the invoice.

Can we keep our existing store, carrier and payment tools?

Yes. That is exactly what the Connected Tools section above is about. WooCommerce and Shopify stores, UPS and freight carriers, payment gateways, QuickBooks and Xero, label printers, Google Sheets and WhatsApp all join to your system so information flows automatically. If you run something not listed, tell us: if it has a way to connect, we can almost certainly join it.

Can we stop orders going out to customers who owe us money?

Yes. Each customer gets a credit limit, and if they are over it the order is held rather than shipped, it goes to a manager, who approves or declines it, and the decision is recorded. Your credit policy then applies to every order automatically, instead of relying on someone remembering to check the account first.

We import. Will this finally show us what our products really cost?

Yes, and for importers it is usually the biggest single win. Freight, customs duty and clearing charges get added onto the cost of the goods in that shipment, so the cost against a product is what you actually paid to land it on your shelf.

What happens after go-live?

We stay. Businesses change: a new warehouse, another sales channel, a report you now want every Monday. We keep refining the system as those needs appear, with support packages to match the cover you want. Most of our clients are still working with us years after go-live.

What is wholesale distribution?
